Individual capture – conveniently via smartphone or on site

Students and staff receive a personal invitation with a QR code by email or letter. With one click, they are taken to a mobile web interface where they can easily take and upload their photo using their own smartphone—without having to install an app or log in.

At the same time, photo kiosks are available at high-traffic locations such as the cafeteria, library, or student affairs office. It is also possible to take photos using the mobile app, for example, through the Welcome Center or IT support. For special groups, a photographer can be arranged on site upon request.

Automatic image processing according to university standards

After uploading, the images are processed using AI: face recognition, cropping, background removal, and alignment are performed automatically. The system takes into account the specific requirements of the university—e.g., ICAO standards or internal design specifications.

A manual control function is available for additional quality assurance. It allows for quick visual inspection and easy requesting of new images—including automated justification for rejection. The interface is designed so that even large quantities can be processed efficiently.

Seamless integration into campus systems

Photo Collect can be easily integrated into existing campus management systems. This allows photo uploads to be automatically integrated into the enrollment process. After successful verification, the image is transferred directly to the system for the creation of student ID cards, campus cards, or digital user profiles—without any manual intermediate steps.

High scalability at minimal cost

The solution is designed for large amounts of data: over 20,000 photos per month can be processed without any problems. At the same time, the financial outlay is significantly reduced—instead of up to €35 per photo, as with traditional methods, the cost with Photo Collect is under 35 cents per image.

Data protection at the highest level

All data is processed exclusively in an ISO 27001-certified data center in Switzerland. Image analysis is performed using proprietary, locally operated AI models—no data is transferred abroad. This means that the solution meets even the most stringent data protection requirements and guarantees data sovereignty, which is particularly important in the education sector.
